KIK is a resource sharing service among consortium libraries in Malaysia hosted and coordinated by PNM. KIK provides access to comprehensive sources of library materials in Malaysia for user reference.

Search results appear in FRBR (Functional Requirements for Bibliographic Records) format. FRBR groups related results for user convenience.

KIK supports basic (general) search and advanced search.

Use the filters on the left panel of the results page. Filter categories include format, edition, publication year, subject and language.

Results can be sorted by relevance, author (A–Z), title (A–Z), or publication year.

Joining KIK

Participation is open to all organizations in Malaysia that have a library or resource center.

Benefits include:
  • Facilitate and expedite reference to local library resources.
  • Access updated information on collection availability.
  • Improve cataloging standards and quality.
  • Speed up cataloging via bibliographic record downloads.
  • Facilitate interlibrary loans.

Yes. Organizations may join KIK as users even if they cannot contribute data.

No. You can join as a user. A library system is required only if you intend to contribute or import data.

Currently, there is no registration fee.

Register via the KIK homepage or use the registration link provided by PNM. Example: KIK registration

User Accounts

An activation link will be sent to the registered email. Activate and create your password within 14 days.

Organisation Admin can create user accounts in Organisation Management > User List. Refer to the user manual for details.

Each organization can create 3 types of user accounts: Organisation Admin, Cataloguer, and ILL (Interlibrary Loan) Officer.

Edit user roles in Organisation Management > User List. See the manual for step-by-step instructions.

Log in using your User ID or email and enter your password.

Click the "Forgot Password" link on the login page and follow the reset instructions.

Admin Module

The organisation should appoint one staff member as Organisation Admin, either a library staff or an IT officer.

Admin Module tasks include:
  • Update organisation information including circulation policy settings.
  • Create, maintain and assign roles for user accounts.
  • View organisation account status in the ILL module.
  • Monitor scheduled harvesting jobs and reminders related to the organisation.

Organisation Admin can deactivate user accounts in Organisation Management > User List. Refer to the manual for more details.

For security and control, Organisation Admins are not permitted to deactivate another Organisation Admin. Contact KIK Admin to request such deactivation.

Catalogue Module

In the Catalogue Module you can:
  • Create catalogue records
  • Upload catalogues
  • Copy from external catalogues
  • Convert Excel to MARC 21 format
  • Check transactions
  • View draft task list
  • Manage personal and organisation catalogues

Punctuation will be inserted automatically in bibliographic records by the system.

Yes. Select from the list of templates provided in the Catalogue Module.

The 5 minimum tags are:
  • Tag (05X / 06X / 07X / 08X / 09X)
  • Tag 245 $a
  • Tag 26X
  • Tag 300
  • Tag 6XX

Four mandatory elements:
  • dc.date
  • dc.creator
  • dc.identifier

Through three catalogue channels:
  • Bibliographic Harvesting
  • Web Catalogue
  • Web Upload

Two main collection types:
  • Bibliographic records (MARC 21 format)
  • Institutional Repository (Dublin Core format)

Two reports:
  • Uploaded Status in KIK System
  • Total Number of Masked and Unmasked Holdings in KIK System

Harvesting & Records

The library system must support at least one of these protocols:
  • OAI-PMH
  • Z39.50
  • SRU / SRW

Records go through three stages:
  1. Mapping rules
  2. Cleansing rules
  3. Validation for Primary and Secondary rules (Minimum Standards)

No. Records cannot be deleted. However, records can be masked (hidden) if necessary.

No. KIK accepts records in both RDA and AACR standards.

Yes. The system will convert MALMARC records into MARC 21, which is the encoding scheme used by KIK.

Yes. You can create records using the Web Catalogue channel provided in the KIK system.

Yes. Copy cataloging is supported.

Interlibrary Loan (ILL) / SPP

Interlibrary Loan and publication delivery services provide loans and resource sharing for reference and research among registered libraries and institutions.

Application is open to institutions that have a library or resource centre. Through the service, institutions can request loans or photocopies of articles from participating libraries for use within their premises.

You can use ILL services if your library/institution is a member of KIK or ILL of the National Library of Malaysia.

Delivery by email or hand-pick is free. Postal charges for delivery and return are borne by both requesting and supplying libraries.

Check request status via the ILL Dashboard in the KIK system.

Notifications are sent via email and in-system notifications.

You may request renewal before the due date. The supplying library may accept or reject renewal requests.

Return ILL materials to the supplying library's address.

Due dates and fines are determined by the supplying library. By default, the system refers to the National Library of Malaysia regulations for fines.

You may set the needed date when requesting. Postage typically takes 2–7 days depending on courier and supplier.

ILL materials remain the property of the supplying library. If lost or damaged, you are responsible for fines or replacement costs; amounts vary by supplying library.

You can cancel only if the request is still in "My Pending Requests" list. Otherwise it is too late to cancel.

The number of borrowable items depends on the supplying library's circulation policy.
